Business Email Guide
This guide provides a comprehensive overview of managing your Business Email service with Simbavault. Here, you'll find information on mailbox management, accessing your email via webmail, understanding our security features, and troubleshooting common issues.
Mailbox Management
You can manage all aspects of your email accounts directly from the Simbavault client area or your hosting control panel. This centralized control makes administration simple and efficient.
- Creating Mailboxes: Navigate to the email section and select "Create Mailbox". You'll need to provide an email prefix (like
infoorjohn.doe) and a strong password. - Changing Passwords: Select the mailbox you wish to update and use the "Change Password" option. We recommend updating passwords regularly to maintain account security.
- Setting Quotas: You can assign specific storage limits (quotas) to each mailbox. This helps you manage your overall storage allocation effectively and prevents a single user from consuming all available space.
- Deleting Mailboxes: Be cautious when deleting a mailbox. This action is permanent and will remove all emails stored in that account. Ensure you have backed up any important data before proceeding.
Webmail Access
You can access your email from any web browser using our Webmail interface. This is particularly useful when you're traveling or away from your own devices. To log in, simply navigate to https://yourdomain.com/webmail in your browser and enter your full email address and password.
Security Features
We provide several layers of robust security to protect your email communications from common threats.
- Spam & Virus Filtering: Our systems automatically scan all incoming mail for spam and viruses. Suspicious messages are quarantined, keeping your inbox clean and protecting you from malicious attachments.
- DKIM & SPF: These are essential email authentication standards that help prevent email spoofing (where someone fakes your email address) and improve your domain's sending reputation, which helps your emails avoid spam filters. We automatically configure these records for you.
- SSL/TLS Encryption: We enforce SSL/TLS encryption for all connections to our mail servers (IMAP, POP3, SMTP). This ensures your data is securely encrypted between your email client and our servers, protecting your privacy.
Troubleshooting Common Issues
Here are solutions to some of the most frequently encountered email problems.
- I can receive email, but I can't send.
- This issue is almost always caused by incorrect SMTP (outgoing server) settings. Double-check that your SMTP server is set to
mail.simbavault.com, the port is465with SSL/TLS, and that "SMTP Authentication" is enabled, using your full email address and password. - My emails are going to the recipient's spam folder.
- This can be caused by many factors. First, ensure your SPF and DKIM records are correctly set up in your DNS. Second, avoid using spam-like language or sending a large volume of emails at once, especially from a new account. Building a good sender reputation takes time.
- I forgot my email password.
- You can easily reset the password for any mailbox through the email management section in your Simbavault client area. You do not need to know the old password to set a new one.
